Agency OpsInternal operations

Know where the work stands.

When updates live in messages and people’s heads, finding out what is happening becomes a job in itself. I built Agency Ops to connect the work, the people responsible and the decisions waiting to be made.

Product design, engineering and operational workflow

Too much depended on asking around.

The agency coordinated a substantial part of its work through WhatsApp, manual updates and catch-up conversations. Understanding a project meant piecing together who had done what, which submission needed review and who was waiting on someone else.

I designed the system around those daily questions. The team needed to see dependencies and ownership. Management needed a reliable view of delivery without reconstructing it from a stream of messages.

Connect the things that affect delivery.

Agency Ops brings the practical details of agency work into one place:

  • Projects, tasks, owners, deadlines and work waiting for review.
  • Dependencies, blockers and feedback that affect the next step.
  • Project documents, internal conversations and leave requests.
  • Reporting on workload, rework and the health of delivery.

These are connected parts of the same operation. A blocked task affects another person’s work. A review creates feedback. A leave request changes capacity. The system makes those relationships visible.

Answers drawn from the actual work.

The AI assistant can request information through a defined set of read-only tools. Those tools look up current records and respect the person’s role. Staff and managers do not receive the same access simply because they ask the same question.

The assistant and dashboards use the same reporting logic. That connects a conversational answer to the operational record, while database access rules provide a separate layer of control.

A shared picture people can act on.

Teams can see ownership, dependencies and outstanding reviews together. Management can inspect the reporting and identify issues in the same system where the work is recorded.

This overview describes the existing Agency Ops system’s capabilities. Live staff, performance, financial and client records are private. It does not claim a measured reduction in meetings or a particular financial return.

A useful starting point for your operation: what do you keep asking someone just to find out where things stand?
